Stand Out NI – Terms & Conditions

By booking a place with Stand Out NI, you agree to the following Terms & Conditions.

Booking & Payment

Booking a place in a Stand Out NI class is a commitment for the full term or booking block selected.

Places must be booked through our booking system and are not confirmed until the required payment has been received. Booking confirmation will be issued through ClassForKids.

All fees must be paid by the stated deadline. Where a split-payment option is offered, all remaining payments are still due for the full term booked.

Once a place has been booked and paid for, fees are non-refundable, including where a child chooses to stop attending during the term.

In exceptional circumstances, refunds or account credit may be considered at the discretion of Stand Out NI. Where a refund is agreed, please allow up to 10 working days for processing.

Classes, Cancellations & Changes

Stand Out NI will make every reasonable effort to deliver all scheduled classes.

Occasionally, a class may need to be cancelled, postponed or changed due to circumstances outside of Stand Out NI’s control, such as school closures, school events, changes to school schedules or facilities, adverse weather, or other unforeseen circumstances.

In these circumstances, refunds or credits will not be provided. However, wherever possible, we will do our best to arrange an alternative class date within the school calendar. Please note that an alternative date cannot always be guaranteed due to school and venue availability.

If a class is cancelled directly by Stand Out NI for reasons within our control, we will aim to provide an alternative session. If this is not possible, an appropriate credit or refund will be provided.

Parents will be informed of any cancellations or changes as soon as reasonably possible.

Attendance & Waiting Lists

If a class is full, your child may be added to a waiting list. We will contact you if a suitable place becomes available.

If your child will not be attending a class, please let us know as early as possible.

Refunds, credits or replacement sessions cannot be provided for classes missed due to a pupil’s absence.

Collection After Class

Parents/guardians are responsible for ensuring their child is collected promptly from the designated collection point at the end of class.

Collection arrangements may differ depending on the school and year group, so please check the venue information provided when booking.

If someone different will be collecting your child, or your child will be attending another after-school activity or school childcare provision, please notify us in advance.

Children will only be released in accordance with the collection information provided to us and the procedures of the individual school.

Medical Information & Emergencies

Parents/guardians are responsible for providing accurate and up-to-date information about any medical conditions, allergies, additional needs or other information relevant to their child’s safety and participation in class.

If your child’s circumstances change during the term, please inform us as soon as possible.

If a child becomes unwell or is injured during a session, appropriate first aid and the school’s relevant procedures will be followed. The parent/guardian will be contacted where necessary.

In an emergency, appropriate medical assistance will be sought. Where a parent/guardian cannot be reached and urgent treatment is considered necessary by a medical professional, the child’s health and safety will take priority.

Food & Allergies

From time to time, Stand Out NI may provide snacks or treats during special classes, end-of-term celebrations or events.

Parents will be informed where appropriate. It is the responsibility of the parent/guardian to provide accurate information regarding allergies and dietary requirements.

While reasonable precautions will be taken, we cannot guarantee that any environment or food provided will be completely free from allergens.

Behaviour & Participation

Stand Out NI aims to provide a positive, encouraging and inclusive environment where every child feels welcome.

We expect pupils to treat teachers, other pupils, school staff and property with respect.

If a child’s behaviour repeatedly disrupts a class, presents a safety concern or significantly affects the experience of other pupils, we will communicate with their parent/guardian and work together, where possible, to support the child.

Where concerns cannot be resolved, Stand Out NI reserves the right to suspend or discontinue a child’s place. Any decision of this nature will be handled sensitively and on an individual basis.

Photography & Video

During registration, parents/guardians will be asked whether they consent to photographs and/or videos of their child being taken and used by Stand Out NI.

Where consent has been provided, photographs or videos may be used on our official social media channels, website, promotional materials and relevant parent WhatsApp groups.

Photography consent is optional and does not affect a child’s ability to participate in our classes.

Consent can be withdrawn at any time by contacting Stand Out NI. We will update our records regarding future use of images following withdrawal of consent.

Personal Information & Privacy

Stand Out NI collects and processes personal information necessary to administer bookings, communicate with families and safely deliver our activities.

Personal information will be handled in accordance with our Privacy Policy and applicable UK data protection legislation.

Parents/guardians are responsible for ensuring that the contact, medical and emergency information provided during registration remains accurate and up to date.

Personal Belongings

Children should avoid bringing unnecessary valuables to class.

Stand Out NI cannot accept responsibility for lost, damaged or stolen personal belongings unless the loss or damage is caused by our negligence.

Withdrawal From Classes

Parents/guardians may withdraw their child from classes at any time; however, please notify us as soon as possible.

Withdrawal from a class does not cancel the financial commitment for the term or booking block. Refunds will not normally be issued for remaining sessions once a booking has been made.

Website & Materials

Materials, resources, photographs, branding and other content produced by Stand Out NI remain the property of Stand Out NI unless otherwise stated.

Materials provided to pupils or parents may be used for personal and educational purposes but should not be reproduced, distributed or used commercially without permission.

Changes to These Terms & Conditions

Stand Out NI reserves the right to update these Terms & Conditions when necessary.

Where a change significantly affects an existing booking, parents/guardians will be informed where appropriate.
